E-Commerce & Retail Customer Service Virtual Assistant (VA)

What You'll Do

  1. Respond to customer inquiries via phone, email, or live chat with professionalism and empathy.

  2. Process orders, refunds, cancellations, and returns while tracking delivery updates

  3. Manage disputes and claims on platforms like Amazon, Shopify, or Etsy.

  4. Handle VIP or high-priority customers, offering personalized assistance.

  5. Maintain comprehensive records of interactions and escalate complex issues to relevant teams.

  6. Develop and update customer service scripts and FAQs to ensure consistent responses.

  7. Assist with social media inquiries and comments, addressing customer concerns publicly and privately.

  8. Conduct satisfaction surveys and analyze feedback to improve service processes.

  9. Manage loyalty programs, memberships, and rewards to increase customer retention.

  10. Collaborate with internal teams (sales, fulfillment, tech support) for speedy issue resolution.

  11. Track and manage service-level agreements (SLAs) to meet or exceed response targets.

  12. Monitor and update inventory records based on inquiries and stock availability.

  13. Use automation tools for routine tasks, including email autoresponders and basic troubleshooting.

  14. Identify trends or recurring issues, recommending process improvements and SOP updates.

  15. Assist in onboarding new customer service team members by sharing best practices and training materials.

Our Perfect Candidate

  • 2+ years of customer service or e-commerce experience (online retail, help desk, or similar roles)

  • Strong English communication skills (C1-C2)—clear, empathetic, and efficient

  • Tech-savvy: Familiar with Shopify, Amazon Seller Central, Etsy, CRM systems, and help desk tools (e.g., Zendesk)

  • Problem-Solving Mindset: Able to troubleshoot order issues, identify process gaps, and propose solutions

  • Adaptability: Willingness to learn AI-driven workflows, new platforms, and dynamic retail processes
