What You'll Do

  1. Answer inbound calls, screen them professionally, and route callers to the correct department—maintaining detailed messages in a VoIP system (e.g., RingCentral, Grasshopper)

  2. Coordinate meetings, track time zones, and send reminders using Google Calendar, Calendly, or Acuity Scheduling

  3. Handle inquiries through email and chat (Zendesk, Intercom), prioritizing urgent requests and forwarding critical messages to the right individuals

  4. Gather essential details from incoming prospects and qualify them based on predefined criteria—ensuring smooth handoffs to sales or service teams

  5. Address customer concerns, escalate complex issues, and maintain a courteous, solution-oriented demeanor at all times

  6. Maintain customer data in CRMs, prepare call logs, transcribe voicemails, and organize virtual files

  7. Assist with product/service orders, verify billing details, and coordinate with accounting teams for invoicing or refunds

  8. Reconnect with clients post-service for feedback, manage renewal reminders, and gather testimonials to strengthen brand loyalty

Our Perfect Candidate

  • 2+ years of virtual reception or administrative experience—confident phone demeanor and excellent multitasking skills.

  • Strong English communication skills (C1-C2)—friendly, empathetic, and professional in both spoken and written interactions.

  • Tech-savviness: Familiar with VoIP systems (e.g., Aircall), calendar tools, CRMs, and helpdesk software.

  • Attention to Detail: Skilled at maintaining accurate notes, call logs, and client records.

  • Adaptability: Ready to handle diverse inquiries, last-minute schedule changes, and a high-volume call environment.
